Job Summary


The Office Administrator is responsible for ensuring the smooth and efficient operation of the office by managing administrative tasks, coordinating office activities, and providing support to staff and management.
The role involves a variety of tasks, including handling communications, organizing meetings, maintaining office supplies, and ensuring the office environment is well-maintained.

Responsibilities
Administrative Support:


Serve as the primary point of contact for internal and external communications (emails, phone calls, and correspondence).
Manage and maintain office filing systems, both digital and physical, ensuring confidentiality and easy retrieval.
Schedule appointments, meetings, and conference calls; prepare agendas and take minutes when necessary.
Assist in preparing reports, presentations, and documents as needed by the management team.

Office Management:


Oversee office supplies and inventory, ensuring that necessary items are available and replenished in a timely manner.
Organize and supervise office layout, cleanliness, and compliance with health and safety regulations.
Coordinate maintenance of office equipment (printers, computers, etc.) and liaise with vendors for repairs or technical support.

Event and Travel Coordination:


Arrange travel and accommodations for staff and management, including flight bookings, hotel reservations, and transportation.
Assist in planning and organizing company events, meetings, and conferences.

Reception Duties:


Greet visitors and manage front-desk operations, ensuring a welcoming and professional office environment.

Qualifications and Skills


Education: BSC, HND or OND in any field.
Experience: 1-3 years of experience in office administration or a related role.
Communication Skills: Excellent written and verbal communication skills, with a professional and approachable demeanor.
Problem-Solving: Ability to handle multiple tasks simultaneously and resolve issues quickly.
Interpersonal Skills: Strong customer service skills, with the ability to work with a wide range of individuals across all levels of the organization.
Technical Skills: Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with office management software is a plus.
Organizational Skills: Strong attention to detail, excellent time management, and the ability to prioritize tasks effectively.
